Chapter 13

13 — Team members and what they can do

← Handbook · Previous: The scanner app · Next: Account security

What it is

Your organization is your business on COME TOGETHER: your events, your payment account, and your team. Everyone who helps run your events joins your organization with a role that decides what they can see and do.

Manage your team from Settings → Team.

Roles

Role Good for Can
Owner You Everything, including payments, and transferring ownership
Admin A business partner or operations lead Everything except ownership, on every event
Manager Someone running particular events Edit events, tickets and discounts; manage orders and refunds; email ticket holders; work the door, including overriding the scanner and door reports
Box Office Door staff Scan tickets, undo a mistaken check-in, look up guests, help with orders
Marketing Promotion and communications Discounts, emails to ticket holders, analytics, exports
Viewer Someone who needs to look, not touch See events, orders and customers
Custom Anything in between Exactly the permissions you tick

Promoters are added separately, from the event itself. See Discount codes and promoters.

Which events they can reach

  • Owners and Admins reach every event.
  • Everyone else reaches the events you choose for them when you invite them or edit their role. That includes the door: someone assigned to Friday's event can't scan tickets for Saturday's.

Roles stay up to date. If we improve what a role can do, everyone with that role gets the change. Custom roles keep exactly what you ticked.

Inviting someone

  1. Go to Settings → Team and choose Invite.
  2. Enter their email, pick a role, and choose their events.
  3. They get an email with a link that lasts 7 days.

If they already have an account, they sign in and they're on the team. If not, they create an account with that email address and join straight away.

You can revoke an invitation before it's accepted.

Limits on inviting

  • Only the owner can make someone an Admin.
  • Nobody can give someone more access than they have themselves. An Admin can invite a Manager, but can't create a custom role with permissions Admins don't have.
  • Owners aren't invited. Invite them with another role, then transfer ownership.

Working for more than one organizer

If you're on more than one team, choose which one you're working in from the menu at the top right, under Working in. Settings, your team, payments and new events all follow that choice.

Changing someone's role

The owner can change anyone's role and events from the team list. Nobody can change their own role.

Removing someone

Choose Remove next to their name. They lose access to everything in your organization immediately: every event, the door, and any promoter links there. Past records, like the check-ins they did or the refunds they requested, stay with their name on them.

The owner can't be removed.

Transferring ownership

The owner can hand ownership to an existing team member from Settings → Team, and confirms with their password. The new owner gets full control, and the previous owner becomes an Admin.

Good to know

Give people the least access they need. Door staff rarely need more than Box Office.

One person, one account. Team members sign in with their own email, so everything they do is recorded against their name.

Working with more than one organizer? An account can belong to several organizations, but the organizer screens currently act on one of them at a time. If you're on more than one team, contact us before making changes.

If something here does not match what you see on screen, the screen is right and this is out of date — tell us.
